General Summary:

The Associate Purchasing and Controls Specialist is responsible for processing all purchasing requests in a timely manner and according to service level agreements.  Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. 

Qualifications

What you will be responsible for:

•         Provides high-level customer service to customers as well as AIT partners.

•         Performs processing of purchasing requests while ensuring selected vendors, quotes, and contracts are being used and that information is up to date.  Enters requisitions into system.

•         Generates and provides product quotations with pricing at customer request.

•         Communicates with vendors for quote requests and to resolve issues.

•         Handles inter-department transfers for IT equipment.

•         Routinely reviews the current product list including part numbers and pricing to ensure the correct item is ordered and all information is entered in the designated tracking system. 

•         Routinely reviews current product list to ensure purchase requests align with Adventist Health System standards. Obtains proper approval when/if purchase request would deviate from Adventist Health System standards.

•         Works closely with vendors to ensure the correct products are being ordered at the correct price.

•         Works closely with customers to make recommendations for software and/or hardware selection, providing accurate pre-purchase technical analysis on PC-related hardware, software, and network infrastructure.

•         Generates necessary product and price quotation with accurate pricing as requested by customers and AIT partners.

•         Handles returns good requests in a prompt and appropriate manner.

•         Assists the Senior Purchasing & Controls Specialist in the research of product choices for possible cost savings. 

•         Enters internal AIT cabling and repair invoices as requisitions in system.

•         Recognizes the need for possible escalation of requests and asks for assistance with escalations when necessary.

•         Assist seniors with obtaining vendor contact and other information for requests to set up a new AIT vendor.

•         Processes orders for external teleconference bridges.

•         Performs other duties as assigned or directed to ensure smooth and efficient operation of the AIT department and in order to comply with Adventist Health System policies and procedures.

What you will need:

KNOWLEDGE AND SKILLS REQUIRED :

•         Knowledge of personal computers, hardware, software, and mobile phones

•         Knowledge of purchase flow from creation of a requisition to receipt of product

 

EDUCATION AND EXPERIENCE REQUIRED :

•         Experience using purchase order systems

 

LICENSURE, CERTIFICATION, OR REGISTRATION PREFERRED:

•         CompTIA A+ Certification OR equivalent experience
